We work hard to keep your account safe but the most likely way a user account could be breached is via their device. Examples include:
A device being left unattended
Clicking a link in a suspicious email that downloads malware to the device.
Your password being leaked online
Tips to keep your account secure
Don't share your password or PIN with anyone else and update it regularly
When you leave your device, log out or use the lock screen (padlock icon in the right hand menu) - do not leave a logged in device unattended.
Use 2FA for logging in- this is when you are sent a code by email or SMS to enter when logging in.
Run a virus check on each device on a regular basis.
Keep software updated - Chrome and the device operating system.
By far the best advice is to always use 2FA for log in. Always remember to log out and don't leave any devices unattended.
Other security measures
Nightly auto logout
At 3am every morning, any active logged in sessions will be logged out.
Ensure that you save your work at the end of each day.
Refresh your page at the beginning of each day and log in.
Log out of all tabs
If you have multiple tabs open on your device, logging out of one tab will automatically log you out of all the others.
Logging back in on one tap or automatically log you back in on all the others.
This is the same for lock screen and logging in via PIN.
Maximum 3 device limit
Each user cannot log into more than 3 devices at any one time. If you try to log into a 4th device, you will see the list of the other 3 active log ins - choose which you would like to log out of (if any) before continuing.
If you have one receptionist but 3 computers at reception and 2 iPads for patient check ins, that user could not be logged into all 5 devices at the same time. In this situation, one computer and 2 iPads could be logged in - leave the other 2 computers on lock screen. If the receptionist couldn't get to the logged in computer, they could type in their PIN and continue on another computer.
