Use leads to manage and track your sales opportunities

A lead is a a sale opportunity. It could be a new patient enquiry or an existing patient interested in a new treatment. Use the lead function to document and track these opportunities and then understand where you perform well and where you can improve to increase sales.

You can create a lead with less required information than a client. But a lead cannot book an appointment, they must be converted to a client first. This can be done quickly with a single click.

Consider creating a new lead for every single enquiry that could result in a sale.

The lead table

Click the lead icon in the right hand menu to see the lead table.

  • The lead table shows a list of your leads and important information. The information can be sorted by clicking on the title of each column.

  • The options button to the right of each row contains the ability to archive and delete the lead (you may need to scroll to the right to see this button).

  • If you have a client on the system that shares the same email address as the lead, there will be a green "Client" label next to the name.

  • Click on the name of the lead to open its lead card. Click on the green Client label to open the client card of the client connected to the lead (shares the same email address).

Create/edit lead stages

Leads can be moved through different stages. They might start in the "New Lead" stage and then progress through different stages. The final stages are either "Closed - Won" when the sale has been made or "Closed - Lost" when the sale opportunity has been lost.

You can edit lead stages by clicking "Edit stages" in the top right corner of the lead table. Consider using stages similar to these:

Create a lead

  1. On the lead table page, click the blue + button next to the search bar in the top left of the screen.

  2. Complete the required fields and consider writing notes about the opportunity that would be useful for when contacting the lead. You can create a lead with less information than needed to create a client.

  3. Click Save. Once saved, you will be returned to the lead table.

You can create multiple leads for the same client including with the same email address. You can also create leads for existing clients.

Leads will appear in the client search function and will have a grey "Lead" label next to the name.

Lead card

The lead card looks and works very similar to the client card but with less information.

  • Click on the green Client label in the top left to open the connect lead card.

  • Click on the pencil icon next to the lead name to edit the lead personal information and notes.

  • Change the Stage and Owner of the lead by clicking on the blue text.

  • Add the services that the lead is interested in by clicking the blue + button. You can change the value of these services if you wish. The total value of the lead will be displayed in the card and the lead table.

Convert a lead into a client

  • A lead cannot be booked in for an appointment, only clients can. You can create a client directly from the lead card by clicking the "Create client" button.

  • Remember that a lead does not need all the required information that a client requires. Consider adding any extra information necessary such as DoB.

  • Once a lead has a connected client, the "Book appt" and "Create invoice" buttons in the lead card will become active.

Booking an appointment from a lead

  1. Click the "Book appt" button in the lead card.

  2. The calendar will open in a new tab. Click your desired space and the left hand drawer will open with the connected clients name already present, ready for booking.

If you wish to use the lead reports to track the appointments and sales from leads, you must book the appointment this way so that Collums knows that the appointment was booked from the lead.

Booking an appointment directly form the calendar will not be counted in the lead reports.
