Create a campaign to stop clients slipping away

Send recall marketing emails and SMS to encourage rebooking when clients have not returned for treatment

Watch this recording of a Collums Community Training session on setting up automated email (and SMS) marketing.

Automated messages can be sent to specific segments of your client database. First, you will need to create a marketing segment.

To create a segment for all clients that have had a toxin treatment more than 6 months ago and have not returned for another toxin treatment, use these rules:

Drop down 1 = Appointment

Drop down 2 = Botox (Category) (or whichever category you have placed your toxin treatments)

Drop down 3 = Last Appointment

Drop down 4 = More than

Drop down 5 = 6

Drop down 6 = Months

Drop down 7 = Does Not

These rules would be used to send a one-off message. (To send an automated message that will send every day, see below).

Next, create your email or SMS message (this is called a campaign) and send.

To create a segment for clients that have had a toxin treatment EXACTLY 6 months ago today and have not returned for another toxin treatment, use these rules:

Drop down 1 = Appointment

Drop down 2 = Botox (Category) (or whichever category you have placed your toxin treatments)

Drop down 3 = Last Appointment

Drop down 4 = Exactly

Drop down 5 = 6

Drop down 6 = Months

Drop down 7 = Does Not

Finally, set up your campaign to send as a recurring campaign every day - this will mean that each day, at your specified time, Collums will create a new list of clients who had a treatment 6 months ago but have not returned.

Ensure that you select "No end date" to your campaign so that they never stop sending!

Set up multiple campaigns for the same treatment e.g. send an email 6, 9 and 12 months after a treatment with increasing value of offers to encourage them to return.

Ask the client to present the email when they check out to receive their discount.

You can create as many campaigns as you wish! They can be for different treatments and even product purchases. Play with the options to see how powerful the rules can be in selecting the group of clients you wish to target.

If you have decided not to send emails everyday but Monday - Friday for example, consider using days rather than months e.g. 140 days vs 5 months in your rule.

This way, you won't miss any patients due to leap years, different days in months etc. If someone had a treatment on a Monday 5 months ago, they will receive their email on a Monday.
