Taking payment when the client has had a different service

How to check out and take payment when your client had a different treatment to the one they booked.

Clients often change their minds or end up having different treatments to the ones that were originally booked. When this happens, it's important too update the calendar booking BEFORE checking them out so that the correct invoice is generated.

It is possible to change the invoice details after checking out but this will leave your calendar incorrect (you may want to look back in the future and see what your day contained). Editing invoices in the POS manually also introduces more chance of error.

Update a service in the calendar

  1. Click on the appointment in the calendar to open the left hand drawer (LHD)

  2. Update the service in the dropdown OR if booking a course treatment, click one of the course dots

  3. Save

Now when you click the 3 dots in the appointment and Check out & pay, the updated invoice will appear in the POS.

The information about the original booking will not be lost - in the client card > APPOINTMENTS, there is a column for Service Booked in addition to Service Performed.

The invoice is NOT connected to the service that you choose at the top of your practitioner notes - they are completely separate.

If you have staff that take payments, be sure to let them know that you are performing a different treatment as soon as you know so that they can update the calendar before your client is ready to pay.
