The patient journey can only be started once a patient has checked in (the appointment turns yellow in the calendar).
The journey has two parts, the client side and practitioner side.
Client side of patient journey
We recommend that the journey be started on a tablet that can then be handed to the client.
The first screen invites the client to review and update their personal details and communication preferences. They are not able to change their gender and dob on this screen - this can only be done by a member of staff.
The PMH (past medical history) form is shown next if the client has not completed it before. If they have completed it, they will be asked if anything has changed. If not, they will skip this step. If it has, they will see the form as they last completed it so that they can just update it.
The next screens contain any forms that you have selected to appear in the Client Journey when creating the service (found in admin/services/forms section).
Once the client side forms have been completed, there is a message for the client to hand the device back to a member of staff. The staff member can then unlock the device by entering their PIN. If the practitioner who is performing the service enters their PIN, they will progress to the practitioner side of the journey. If not, the user is returned to the calendar.
Practitioner side of patient journey
The first screen is a summary of any details that were changed in the personal details or PMH forms. Click "Edit" to go back and make any changes e.g. if the client has made a mistake with their PMH details.
The next screens contain any forms that you have selected to appear in the Practitioner Journey when creating the service (found in admin/services/forms section).
Once all the forms have been completed, it's time to take and upload pre-treatment photos by clicking the blue plus button. We strongly recommend swiping out of Collums and opening the camera app on your tablet. Take the photos here, swipe back into Collums and upload the photos from your device. Do this in the order you wish them to appear. This process is quicker and ensures that precious photos are saved in the event of a wifi problem.
The last screen of the patient journey is the treatment record where you can Create Digital Notes. The default treatment record is set when creating or editing the service (in the forms section).
When complete, return to the calendar and select check out & pay in the appointment menu.
The journey is independent of the client's check in status. Once the journey has been started, it can be completed even if the patient has checked out.
You do not have to complete your medical notes before your patient has checked out. You can return to the client card>Medical at any time in the future, click the pencil icon next to the notes and finish your documentation and/or upload photos.

The client can complete their personal details and PMH in the reception area. Reception staff can retrieve the device and continue with their work. When the client is in the treatment room, the practitioner can initiate the journey from the calendar in the usual way and start the practitioner side of the journey (or pick up where they left off).
You may want to have your patient sign a consent form in advance (or whilst in the reception) and then sign again when with the practitioner in the treatment room. You can add the same form to both the client and practitioner side of the patient journey.
