Book and edit appointments

Appointments are booked in the staff view of the calendar

Book an appointment

  1. Ensure that you are in the staff view of the calendar.

  2. Click on an available time (white blocks) in the practitioner's column.

  3. The left-hand drawer (LHD) for appointment booking will appear:

    1. Search for an existing client from the drop-down by typing a name, email or telephone number, or add one by clicking the blue plus button.

    2. For existing clients, their last three appointments will appear in blue boxes. Click one to book it again.

    3. Any available courses will also be visible. Click on a green circle to book the service. Read more on booking and redeeming course services.

    4. To book a new single service, select or search for it. If it does not appear, check that the practitioner has been given permission to perform the service).

    5. When a service is selected (via b, c or d above), the room, duration, price and any equipment will automatically be allocated.

    6. Add an appointment note if you wish - this will appear in the appointment in the calendar and also in their client card. Chose an alert - if you do this, your notes will appear when triggered by the alert action (e.g. when booking or checking in). When an alert appears, the user will need to click to acknowledge the note before continuing.

  4. Click Save.

Add another service

For a client that is booking more than one service on the same day, rather than going through the whole booking process again, click add another service.

The LHD will expand allowing you to select the details of the next service to be booked and save them all at the same time. The new service can be booked with a different practitioner.

When booking services back to back, the 2nd service doesn't usually need the same amount of time as the client has already been greeted etc. You can quickly reduce the time of the next service by ticking the "Reduce next appt by" check box.

Linked appointments

When using the add another service function, tick the "Linked appts" check box to link the appointments.

Linked appointments behave as one - when one is cancelled or rescheduled, they both are. This is useful for services that are dependent on each other e.g. application of local anaesthetic before microneedling or laser treatment.

Linked appointments do not need to be back to back - they can be separated by time e.g. to allow anaesthetic to work. In addition, they can be with different practitioners.

If doing this, remember to put a block in the room view of the calendar to ensure that no services can be booked into the room that the client is waiting in.

Edit an appointment

  1. Click the appointment in the calendar and the LHD will open containing the appointment details.

  2. Edit the information as desired and click Save. Remember, a new notification message will be sent to the client. Untick the appropriate check box if you do not wish this to happen.
