Services and their categories are created at the Organisation level. If you are a single location clinic, having admin access will automatically grant you organisation level access.
If you have more than one location, you will need to have organisation level access to make these changes - your account owner can grant you access.
Before creating a Service, you must have first created a service category for it to be assigned to. Learn how to create a service category.
Create a service
Click on Admin in the right hand menu and then on "Services" in the Organisation Resources box.
Click the blue plus button next to the search bar and complete the required fields:
General
Select the "Category".
Choose whether it is book and sell, or book only. Book only is for a service that can be booked in the calendar but is not sold and so cannot be added to an invoice. Eg, local anaesthetic is a service to be booked but is often not charged for or sold.
Is add-on: A service that can only be booked after another service e.g. Extractions after a facial.
Sell as part of course only: A service that can only be purchased as part of a course.
Duration : The default time to be set aside for the service. This can be changed for individual practitioners in admin > staff > select staff > service rules > select service > adjust duration
Pricing and Location : Select price, tax and which clinic locations the service will be available at. When you select the location, you will be invited to configure the service (select rooms, equipment and staff), If you don't configure here, you can update or configure your service later.
Online Booking : Activate online booking, and display Service descriptions, duration, and pricing online.
Commission : Clicking "Allow commission" applies this setting to all the Courses within the category. This means that sales of these Courses will be included in the staff commission reports.
Forms : In this section, you can:
select consent forms for the client and practitioner side of the patient journey.
Select forms to be automatically emailed to the client at the time of booking - these can then be viewed or completed online.
Select the default treatment record for the service - this is the treatment record that is displayed at the end of the patient journey.
Click "Confirm".
Navigate to admin/location/services and check that you are happy with the settings there.
If you did not configure your service during these steps, you MUST configure your service before it will work correctly.
TIPS : 💡
Ensure that your desired Services are active - the switch in the "Active" column should be green. Click to activate/deactivate. Check both at the organisation and location levels.
Include all details in the service name to help when searching or locating them on invoices and reports.
E.g. Rather than “One area” inside the category named “Botox”, use the service name “Botox - one area"
Rather than “Bikini” inside the category named "Laser hair removal", use the service name “LHR bikini".
